In the past few years, AI has been popping up with uses in every industry, often making processes faster, more consistent, and less prone to errors. When Case IQ polled workplace investigators about where they could use AI the most, 41 percent agreed on case summarization and reporting (more than any other investigative process).

You asked, we answered! The new Case IQ Summarization Copilot (coming soon) will use Microsoft’s Azure OpenAI to help dramatically reduce the inconsistencies and amount of time spent on producing case summaries. Want to learn how and why you should use AI for workplace investigations? Read on.

The Role of AI in Investigation Reporting

Case summarization is the ideal place to start for using AI in your workplace investigations. This stage involves pulling together all your evidence, supporting documentation, and findings, and gathering and formatting that information can be tedious and takes time away from other investigative tasks.

Do you ever worry you’ve forgotten a key piece of case information in your investigation report? Especially if you’re working on a case that could be subject to a legal or regulatory audit? Using AI for workplace investigations ensures you include everything you and other stakeholders need in the case summary.

In short, your team will be able to produce final investigation reports faster and in a consistent format, leaving you more time to spend on non-administrative work.

AI Data Privacy: Will My Case Data Be Safe Using AI?

With any new practice or technology, it’s natural to have questions and concerns. Keeping case data secure is a top priority, especially when using AI. Here’s how we plan to protect your organization’s sensitive information:

  • Data storage and handling done on Microsoft Azure infrastructure.
  • Case IQ access controls for each case or piece of information carries over to the CIQ Copilot; if you can’t view or edit something in the case file, you can’t see it in the AI tool, either.
  • Data privacy requirements from HIPAA, GDPR, and other regulators are automatically built into the Case IQ platform and all its tools, including the Summarization Copilot.
  • Audit trails show who worked on a case, what they did, and when they did it, so you can see if a team member mishandled data.
  • Data anonymization in the CIQ Copilot protects individuals’ privacy.

These precautions ensure that data doesn’t fall into the wrong hands and reduce your organization’s risk of a non-compliance penalty with data security regulators.

How to Write Investigation Reports with Case IQ’s Summarization Copilot

When you’ve completed a case and are ready to generate your final investigation report, it’s time to use the Summarization Copilot. Simply click “Summary” in your Case IQ platform, and the Assistant pulls the case information into two pre-set templates, a long- and short-form version. These templates can be configured to meet the case type, your regulatory needs, preferences of your stakeholders, and your organization’s branding.

The summary is generated in a rich text editor, so you can review and edit as needed. “You can think of [Summarization Copilot] as a colleague that’s generated a draft for you,” explains Errol Apostolopoulos, SVP Product at Case IQ. You might need to make a few additions or changes, but the majority of the summarization is done for you.

The automated report isn’t just a case summary. It also includes relevant internal policies that were cited in the case, document attachments, and the date the report was generated, so you can reference your process if you’re audited or questioned legally. If you wish to exclude any attachments, citations, or the case timeline, you can regenerate the summary without those elements. Finally, when you’re satisfied with your report, click “Publish” to make the summary a part of the case file.
